Location Details: Location
The Location tab contains detailed information about the location. {Franchise Note}
: Only franchisors will be allowed to create new locations.
- Under the Corporate menu, click Locations.
- To edit a location record, click on the Name hyperlink.
- All tabs are visible by default. To show/hide a tab, click on the Menu icon and select the Tabs option.
From the pop-up menu, check to show or uncheck to hide the desired tab(s).
- Click on the Location tab, if necessary.
- Configure the desired settings on this tab as noted below. Field groupings are listed from top to bottom, left to right. The required fields are noted on screen with an asterisk.
Main fields
- Code and Name
- Opening Date — The official opening date for the location; must be in the date format selected in the Company screen.
- Time Zone — This setting allows a corporate user to designate the time zone that the location is in. The application will use this setting to adjust the system date/time from the server to reflect the local date/time. The default setting is inherited from the Company setup screen. For each location, this setting applies to Performance Metrics and transactions associated with Today's Tasks on the Net-Chef Dashboard, and for determining when posting is allowed in conjunction with the "Earliest Post Date/Time Based on" setting. See "Posting – Related Setup" for details on how these fields work together with the Labor preferences to determine when a location can post. The "CT" options correspond to the previous GMT Offset settings; the "UTC" options will automatically adjust for Daylight Saving Time.
- Active check box — This is checked by default; clear the check box if the location should not be active.
- Ship check box (Cruise Lines only) — Check this box if the location is a Ship.
Contacts fields
- Address 1 and Address 2
- Country — This setting is inherited from the Company setup screen.
- City, and State/Province
- Zip or Postal Code — If using the Weather widget on the Dashboard, this must be populated.
- Phone and Fax numbers
- E-Mail address — This is used as the "From" address for vendor orders and labor schedules sent via e-mail. If left blank, the application will refer to the corresponding field in the Company setup screen.
Market fields
- Market — This links the location to market pricing established in Vendor Bids, which determines which vendors the location can order from and the vendor prices for each product. (Cruise ship locations will not have this drop-down because they do not get linked directly to markets). If the location's primary market is linked to one or more secondary markets, the vendors and pricing may be based on one of those other markets. (See the Market setup screen for more details on primary and secondary markets.)
- Franchise Entity (not visible for Cruise Lines)— This links the location to a specific franchise, so that data can be segregated and access permissions restricted based on the selected franchise. Click HERE to see a summary of the related functions. (Only an authorized user can edit this field; the user group must have the "Location Details - Franchise Entity" control enabled. If switching the location to a different franchise entity, the location will be removed from hierarchies belonging to the former franchisee, and the Week Ending Day, Accounting Method, and Payroll Type will be reset to the new franchise entity's Company values. Also, the user must ensure that there are no labor records for the active post period; they will not be transferred to the new franchisee.)
- Purchase Type (Cruise only) — This determines what kind of purchase orders a location may create using EM Client: 'Master Order', 'Direct Order' (vendor order) , or a 'Combination' of the two. This setting will be the default for new locations.
- Allow purchase from secondary Market Vendors of products with Vendor Bids/Contracts in primary Market — This setting will allow (checked) or prevent (unchecked) users at the location from ordering a product from a vendor based on bids/contracts in one or more secondary markets when the product is available from a vendor with a bid/contract in the location's primary market. (See the Market setup screen for more details on primary and secondary markets.)
- Lot Tracking — Check this box if the location needs to track products by lot throughout the inventory cycle. Lot tracking cannot be turned off once the box is checked and the record is saved.
- Smart Picklist — Check this box if customer order, commissary order, and warehouse order picklists at this location should pick a single product from more than one storage when necessary to fulfill the order quantity. This setting cannot be turned off if "Lot Tracking" and/or "Use Non Default Storage Locations" is enabled for this location. See "Smart Picklist" for more details.
Accounting fields
- Method — This determines how inventory will be valued. This setting is inherited from the Company setup screen and cannot be edited. See Inventory Valuation for more details.
- Software — This determines which will be available based on the selected file format. This setting is inherited from the Company setup screen.
Trading Conditions
- Ownership Entity — This is used to create groupings for certain and reports.
- Base Currency — The currency this location uses for transactions and reporting. This setting is inherited from the Company setup screen. See Currency Exchange to read more about setting up currencies and conversions.
- Base Language — Cannot be edited; currently only "ENGLISH" is supported.
Daily Prep fields
- Check for Missing Prep in Final for Post Inventory — When checked, Net-Chef will alert users to missing Daily Prep transactions when reviewing the Final for Post inventory. This setting will be inherited from Inventory preferences. {Notes}
: Net-Chef will add up all of the Physical Counts entered for all Prep Recipes, and compare them to the sum of In Transit and Book Values. If [ (Total Physical + Total In Transit) > Total Book ], it will suggest making a Prep transaction for the difference, so that all Recipe and Component values are corrected before variances are generated. This will only apply to Central Storages and will not apply to lot-tracked recipes.
- Daily Prep Review — If checked, the Daily Prep screen will include a Review button that will allow users to verify the recipes and quantities for prep before finalizing, and to filter the screen for recipes with a prep quantity in excess of the Production Quantity Alert %. This setting is inherited from the Company setup screen.
- Production Quantity Alert % — This controls the percentage that a user can prep in excess of (greater or less than) the Recommended Production for Prep quantity before a warning is provided. In the Net-Chef Daily Prep screen, the recipe rows will be highlighted yellow and users will be able to filter the screen to display only recipes with prep quantities outside of this range. This setting is inherited from the Company setup screen.
- Buffet Quantity Alert % — This controls the percentage that can be consumed in excess of (greater or less than) the Historical Consumption quantity before a warning is provided. In the Net-Chef Buffet Consumption screen, recipes will be highlighted yellow to let the user know if consumption is too high or too low compared to what is historically consumed. This setting is inherited from the Company setup screen.
- Auto-Daily Prep for sales depletion — When checked, in order to "neutralize" variances in the Actual/Theoretical Cost reports, the system will automatically create a Daily Prep transaction (triggered by Menu Mix depletion) to make enough to fulfill the sales of each depleted prep-eligible recipe where the "On Hand" quantity was < the "Sold" quantity. This setting is inherited from the General Preferences. For details on the process, click HERE.
Auto-Generated Recipe Settings fields
- Allow Menu Mix File to Create Recipes for Unknown POS Recipes — When checked, Menu Mix files for this location will process successfully and automatically create a new POS recipe when it contains a PLU# that does not match an existing recipe in the system. By default, this setting will be unchecked for existing locations and checked for new locations. {Note}
: This setting is only available when the General Preference is enabled.
Date/Number Format fields
- Date Format — Options include: 'dd/MM/yyyy', 'MM/dd/yyyy', 'dd-MM-yyyy', 'MM-dd-yyyy', or 'yyyy-MM-dd'. This setting will be the default for new locations.
- Number Format — Options include: '0,000.00' or '0.000,00'. This setting will be the default for new locations.
- Click the Disk (Save) icon to save your changes.
- To download and print these settings, click the Printer (Export) icon and select the desired options.
- If necessary, click on any other tab as needed to configure settings on that tab. If not, skip to the next step.
- When finished, click the X (Close) icon to return to the summary screen.
Franchise Note: Franchisors can edit any field for locations in any franchise entity except the Active checkbox (can only edit this for their locations). Franchisees can edit any field for locations in their own franchise entity except the Franchise Entity drop-down.
