Daily Prep - Related Setup

This section describes some of the setup that users must or should complete in Enterprise Manager or Net-Chef prior to using the Daily Prep module.

Note: All setup should be completed in Enterprise Manager unless otherwise noted.

Recipes

Product > Recipe

Recipes must be set up with the correct "batch size" quantity and package type, and the appropriate "portion yield" quantities and package type (inventory unit), since these are used to convert between batch unit quantities and inventory unit quantities. Recipes must also have all of the correct products added as components, with the appropriate quantities and recipe package types, and the appropriate "Major Ingredient" designation.

Prep Stations

In order to be eligible for Daily Prep, a recipe must be associated with a prep station. The list of prep stations is company-wide; there is no individual set of prep stations for each location. Therefore these entities usually have generic descriptions, and not all prep stations may be used at all locations. The Daily Prep module will allow users to filter the recipe list by Prep Station.

Storage Locations

Product > Storage Locations

In order to be eligible for Daily Prep at a location, a storage location must be associated with each prep station that will be used to produce recipes at a given location.

Location Products

Product > Location Products

In order to be eligible for Daily Prep at a location, a recipe must have a location product record at the location. This storage location will be the one to which the finished recipe item is added when Daily Prep is finalized.

In addition, the Daily Prep module uses the recipe’s location product “Min Par” quantity to determine the “Recommended Production for Prep” quantity of the recipe. Therefore, users should maintain meaningful par quantities in the location product record for each recipe.

Note: If a Daily Prep recipe includes a component that has never been active at the location, the component will become a Location Product once the Daily Prep transaction is finalized, if the user is linked to a User Group with the “NC-Daily Prep – Finalize w/Insufficient Component Qty” control enabled.

Financial Calendar

Daily Prep transactions are performed in Post Calendar post periods, therefore the application will not allow a user to create a Daily Prep transaction that contains dates that occur after the last post date set up for the location. The Daily Prep process makes changes to product quantities in inventory, and this must occur within existing post periods.

Users may also set up a Promotions calendar, and a Holiday calendar. The application will display information about scheduled "Promotions" and "Holidays" in the Daily Prep screens, so that users can adjust Daily Prep quantities as needed for these dates.

Recommended Order Setup

In the Daily Prep screen, Net-Chef displays a "Recommended Production for Prep" quantity for each eligible recipe. The basic calculation for this value is: [ Projected Consumption + Min Par - Available ].  For recipes with a shelf life of 2 days or greater, the application will use projected consumption for the current date and any whole day of shelf life after the current date. For recipes with a shelf life of less than 1 day, however, the application needs to refer to time-sensitive projected consumption quantities for the recipes, taking "Start Time" and "Prep Time" into consideration.

For each recipe, the application will take the Start Time, if any, for the Daily Prep and add the Prep Time to the recipe to it to get a time to start looking for projected consumption. For example, if Start Time is 12:00 pm and Prep Time is 30 minutes, the application would start calculating hourly projected consumption from 12:30 pm.

  • If there is no Start Time, the application will use the "Opening Time (Setup)" for the location for the weekday of the Daily Prep transaction.
  • If there is no "Opening Time (Setup)", the application will use midnight (00:00).

Then the application will add the Shelf Life of the recipe to that time. For example, if Shelf Life is 4 hours, the time would be 12:30 pm + 4 hours = 4:30 pm. Therefore, the application will calculate projected consumption between 12:30 and 4:30 pm.

In order to calculate daily Projected Consumption, the application refers to several of the location’s "Recommended Order" preferences, as well as its "Aggregate" status, if any. The Recommended Order preferences may be maintained on the Recommended Order tab of the Location Details screen in Enterprise Manager or in the Net-Chef Recommended Order Setup screen. For new locations, these settings will default to the global settings on the Recommended Order tab of the Preferences setup screen in Enterprise Manager. A location can be set up to calculate "Aggregate" consumption based on other locations’ data, but this can only be done in the Location Details screen.

  • Aggregate(Consumption/Demand)(Consumption/Demand)

Check the "Aggregate" box in the Location Details screen (Recommended Order tab) for the Daily Prep location and select other appropriate locations from which historical data will be used to calculate the projected consumption for this location.

The Production Driven By setting determines whether prep will be based on historical production according to data in the system from "Current" and/or "Historical" posted periods.

This setting determines whether consumption for production should be measured using Crunchtime 'Usage' calculations or 'Sales' data.

At this point, Production Driven By and Consumption for Production Measured By have been used to calculate the historical consumption quantity. Next, Consumption Driven By will be applied to project future consumption and determine the overall consumption quantity to use for Daily Prep.

  • Includes Catering Orders — If checked, the Consumption portion of the Recommended Order formula (if enabled) and in the Recommended Production for Prep formula can be based on historical consumption PLUS open catering orders. The Customer Order module in Net-Chef will allow users to flag customer orders specifically as catering orders and link these orders to revenue centers.

 

Based on the above settings, the application will calculate a “Projected Consumption” value for each recipe, for each day of the week.

Note: If "Import Projected Consumption" is enabled, the Consumption portion of the Recommended Production for Prep formula will be based on imported values and will not be calculated using parameters defined in this screen.

Sales Forecasts 

Net-Chef > Sales > Manage Sales Forecasts

If users wish to use either 'Sales' or 'Guests' as the Consumption Driven By preference, then Sales Forecasts should be set up for the Daily Prep date for all relevant locations (the prep location and/or any aggregated locations).

Company – Accounting Method

Corporate > Company

The Accounting Method set up in the Company Setup screen determines whether the application will use 'Average' or 'Last Price' costing to determine the new Issue/Inventory cost of each recipe produced when Daily Prep is finalized.

Location – Hours of Operation

Corporate > Locations > Locations Details > Labor tab

The application will use the location’s Hours of Operation to determine which hourly segments to display in the "Projected Consumption" report.

Location – First Daypart for Scheduling

Corporate > Locations > Locations Details > Labor tab

The "First Daypart for Scheduling" selected on the Labor tab of the Location Details screen in Enterprise Manager determines the order in which the "Daypart" report displays dayparts when it reports historical consumption of prep recipes by daypart. The application also uses this preference to calculate the "Action Date" for "Pre-Production" recipe components in the Pre-Production screen.

Preferences (General) – Invoice Label Size

Corporate > Preferences > General tab

If users elect to print labels for completed recipe items, the “Invoice Label Size” determines how the Print Labels pop-up window will format recipe labels.

Application Users & User Group Security

Security > Application Users

Security > Users Groups

In order to access the Net-Chef Daily Prep module, an application user must be associated with a user group that has access to the “NC-Daily Store Tasks – Daily Prep” control. The ability to “Finalize” Daily Prep when a recipe has insufficient component quantities is controlled by the “NC-Daily Prep – Finalize w/Insufficient Component Qty” control.
