Create or Edit a Staffing Level Template (Demand)
The Staffing Level Templates setup screen will allow authorized users to create and maintain a list of labor scheduling templates that will be used to calculate and display Ideal & Earned Hours in Teamworx labor schedules. Users can create Demand-based templates and define Position/Demand ranges to get the desired "Ideal Hours" for each Position on the Labor Schedule. Demands can be based on the level of forecasted Sales, Guests, Checks, or Guests in Restaurant. Users can also assign demand-based templates to one or more locations; these corporate templates will be available only to those locations.
Note: Please be aware that changes made to Staffing Level Templates are not automatically reflected in Ideal and Earned Hours on existing schedules. To ensure accuracy, Staffing Level Templates must be reapplied to existing schedules and then the schedule must be saved.
- Under the Labor menu, click Staffing Level Templates. The summary screen will open.
- To create a new demand-based template, click the New Staffing Level Template (Demand) button. To edit an existing template, click the Staffing Level Template hyperlink for the appropriate template.
- On the Template Details tab, enter the Template name.
- The Active box is checked by default; clear this check box if the template should not be active.
- Check the box to Enable Multi-Select For Revenue Center if users should be able to choose more than one.
- The Scheduling Based on ('Week', 'Days', 'Dayparts', 'Hours', '30 Minute Intervals', '15 Minute Intervals') setting determines the time frame for which staffing levels are defined. This will default to the "Scheduling Based on" setting selected on the Labor tab of the Preferences setup screen. If necessary, select another option from the drop-down.
- The Labor Schedule Driven By setting defaults to 'Sales' to indicate that labor staffing should be based on sales demands. If necessary, select 'Guests', 'Checks', or 'Guest in Restaurant' (available if "Scheduling Based on = 'Hours', '30 Minute Intervals', '15 Minute Intervals') to indicate that labor staffing should be based on forecasted guest or check counts, or the number of guests in the restaurant based on historical menu mix data. Once the template has been saved, this setting cannot be changed.
- If "Labor Schedule Driven By" is set to 'Sales', the Base Currency can be changed to another currency used by any active location. If not, this field cannot be edited.
- Select or Enter the Begin Date and End Date for this staffing template. This allows you to define staffing levels for specific time periods, such as holiday weeks or special events that require different staffing levels than usual.
- The Schedule Driver defaults to 'NET SALES - BUSINESS HOURS'. If necessary, select 'PRE SHIFT – PREP/SETUP' or 'POST SHIFT – CLEANUP' from the drop-down to define staffing levels for those drivers.
- If the "Schedule Driver" is set to 'NET SALES - BUSINESS HOURS' and "Scheduling Based on" is set to 'Dayparts', 'Hours', '30 Minute Intervals', or '15 Minute Intervals', the Daypart can be edited and will default to 'All'. If not, this field cannot be edited. If necessary, select a Daypart from the drop-down to define staffing levels specifically for it.
- If the "Schedule Driver" is set to 'NET SALES - BUSINESS HOURS', the Revenue Center can be edited and will default to 'All'. If not, this field cannot be edited. If necessary, select a revenue center from the drop-down to define staffing levels specifically for it. If "Enable Multi-Select For Revenue Center" is checked (see Step 5), you must choose at least one but can choose more.
- The Sales/Guests/Checks/Guests in Restaurant >= field will default to '0' for the first range; this cannot be edited. For subsequent ranges, enter a beginning range in this field.
- For the 'NET SALES - BUSINESS HOURS' driver, ranges can be defined according to forecasted values for the "Scheduling Based on" time frame selected in step 6.
- For the 'PRE SHIFT – PREP/SETUP' and 'POST SHIFT – CLEANUP' schedule drivers, ranges are defined according to the "Week" forecasts (if "Scheduling Based on" = 'Week') or "Day" forecasts (for any other "Scheduling Based on" setting).
- For each position, enter the appropriate number of employees or hours required to meet the level defined in step 12 for the selected schedule driver, as follows:
- If "Scheduling Based On" is set to 'Dayparts', 'Hours', '30 Minute Intervals', '15 Minute Intervals', enter the appropriate number of employees that should be scheduled in each position during this time frame.
- If "Scheduling Based On" is set to 'Day' or 'Week', enter the total number of hours needed for each position during this time frame.
If necessary, a position can be removed from the template by clicking on the position row and then clicking the Trash Can (Delete) icon. To add a Position to the template, click the Add Position button.
- To define the next incremental range, click the Add Range button. This will add another column to the right of the first range column.
- To define additional staffing levels/hours:
- Repeat steps 13 -15 for each Position & Range for the current Schedule Driver.
- Repeat steps 12-15 for each Revenue Center.
- Repeat steps 11-15 for each Daypart.
- Repeat steps 10-15 for each Schedule Driver.
- To print a report that includes the data for all of the Positions (with at least 1 entry), Schedule Drivers, and Revenue Centers in the template, click the Printer (Export) icon and select the desired options.
- When finished, click the Disk (Save) icon.
