Staffing Level Template Assistant

From the New Demand Template screen, you can access the Staffing Level Template Assistant to define templates quickly and easily. The Template Assistant can only be used to create a new Demand template; it cannot be used to edit existing templates and it is not applicable for Task templates.  To maintain a simplified workflow, specific Daypart and Revenue Center settings are excluded from this process. If you require a more complex configuration involving Dayparts and/or Revenue Centers, please exit the Template Assistant to return to the New Demand Template screen, and create your template manually.

 

Upon saving, the Template Assistant will apply the following default settings to the template:

  • Active: Yes (checked)
  • Enable Multi-Select For Revenue Center: No (unchecked);
  • Schedule Driver: NET SALES - BUSINESS HOURS  {Note}Closed: Users must define levels for the PRE-SHIFT & POST-SHIFT drivers manually.
  • Daypart: All, if "Scheduling Based on" = 'Hours', '30-Minute intervals', or '15-Minute intervals'; 'None' if "Scheduling Based on" = 'Weeks' or 'Days'.
  • Revenue Center: All 
  • Base Currency: Location Currency when "Labor Schedule Driven by" = 'Sales'; otherwise None.

 

Using the Template Assistant

  1. From the New Demand Template screen, click Template Assistant.
  2. Under the General settings, define the following:
  1. What should we call this Staffing Level Template? — Enter the Template Name.
  2. Staffing Method — Choose Positions (default) or Total Staff.  {Notes}Closed:  'Positions' will calculate Ideal Hours (as is) based on the selected positions; 'Total Staff' will calculate Flexible Ideal Hours based on the total staffing head count. Staffing Level Templates configured for 'Total Staff' cannot be used with the Auto-Scheduling functionality.
  3. Which metric drives your labor needs? — Choose Sales, Guests, Checks, or Guests in Restaurant.
  4. How would you like to measure your staffing intervals? — Choose 15m, 30m, Hours, Days, or Weeks.  {Note}Closed:  'Days', or 'Weeks' is not available if 'Guests in Restaurant' is selected above.
  5. When should this template become active? — Select or enter the Start DateEnd Date.
  1. To proceed, click Next. If necessary, click Back to return to the previous screen or Cancel to exit the Template Assistant.
  2. Under Thresholds, define the following:
  1. What is the maximum amount of Sales/Guests/Checks/Guests in Restaurant your team can realistically handle in an Hour? — Enter the value of the highest range.
  2. At what Sales/Guests/Checks/Guests in Restaurant increment should the staffing level increase? — Enter the amount by which each range will increase.
  3. Which position(s) do you want to include in the Staffing Level template? — Proceed as follows based on the selected Staffing Method in Step 2b:
  • If you chose 'Positions' — Check the box beside each Position to select it, or check the box in the column header to select all positions.
  • If you chose 'Total Staff' — Check the box for the default Flexible Ideal Hours position.
  1. To proceed, click Finish. In the Alert pop-up, click OK to proceed or Cancel to go back.
  2. Populate the Staffing Grid by entering the specific # of Emps needed for each position across your newly created ranges.  If necessary, you can choose to Add Range or Add Position to modify the template further.
  3. To see if your staffing levels meet your productivity targets, click the Labor Efficiency button. For report details click ClosedHERE.
  • Range (Min) — Demand value from the Range column.
  • Range (Max) — The next range's starting value minus 0.01.
  • Total Staff — Total count of employees assigned to this range.
  • Labor Hours = [ Total Staff x Interval ]
  • Min SPLH = [ Demand Min ÷ Labor Hours ]
  • Max SPLH = [ Demand Max ÷ Labor Hours ]
  • Min Labor % = [ (Labor Hours x Avg Wage) ÷ Demand Min ] x 100
  • Max Labor % = [ (Labor Hours x Avg Wage) ÷ Demand Max ] x 100
  1. Select the Locations or Location Groups tab and assign this template to the locations that should use it.
  2. Perform a final review of your settings and thresholds.
  3. When ready, click the Disk (Save) icon.
