Auto-Generate Products

The Auto-Generate function in the Company Products screen allows users (in certain environments only) to create multiple company product records at once from a basic product record. This works in conjunction with the "Size" and "Color" setup screens, and allows the creation of separate product records when one basic item - a polo shirt, for example - comes in several sizes and colors. By creating separate records, users can assign to each new product a unique PLU for use with the POS system.

Prerequisites for auto-generation:

The Auto-Generate tool can only be use if all of the following are true:

Sizes and Colors have already been defined (at least one of each).
The current user’s User Group includes access to the "Auto-Generate" tool.
The current user is logged in at the corporate location.
For non-cruise companies, if a product is linked to one or more Concepts, users can perform the "Auto Generate" function only if they are linked to one or more of the same Concepts.

Using Auto-Generate:

Create a "template" product record first (see "Creating a Company Product" for more information).
In the Company Products summary screen, click the Auto-Generate button, which is available only if all of the above prerequisites have been met.
In the pop-up window, check the "Select" box for the appropriate products and click the Select button.
The Auto-Generate Product with Image and Auto-Generate Product with Attached Files check boxes are checked by default; clear the appropriate check box if the image or attached files should not be copied.
Enter the retail Price if applicable.
If these products will be used for retail sales, check the Create Recipes box to create each new product as a recipe item.
For the "Hotel-Single" company type only, there will also be a Storage drop-down.
Click the check box for each applicable Size/Color combination that needs a product record, or click Select All to check all the boxes at once.
When ready to create the new records, click Auto-Generate.
A message will pop up asking if you’re sure you’re ready to proceed. Click OK.
When the new products have been created, you should deactivate the original "template" product record.

Note: If the Master Recipe Number format has elements in addition to the “Numeric” element, the system will not be able to generate PLU Numbers, which must be numeric-only. Also, this function will NOT copy Universal Product information.
