Vendor Details: Location Details
The Location Details tab of the Vendor screen contains information that allow users to establish direct online ordering with the vendor. Users can set up location-specific vendor order transmission modes, since not all locations will use the same method of transmitting vendor orders to a supplier. When a new location is added, many of the settings on this tab will default from those on the Vendor tab.
- Under the Purchasing menu, click Vendors.
- To edit a vendor record, click on the Name hyperlink.
- All tabs are visible by default. To show/hide a tab, click on the Menu icon and select the Tabs option. From the pop-up menu, check to show or uncheck to hide the desired tab(s).
- Click on the Location Details tab.
- Click the Plus (Add) icon. This will display the Add Locations section in the lower part of the screen
- Click on the appropriate location or press [CTRL] and click on multiple locations.
- Click the ^ (Add) button to link the selected locations or click the Double-Arrow (Add All) button to add them all to the vendor. If necessary, select one or more locations and click the Trash Can (Delete) icon at the upper right of the screen to remove them.
- When finished, click the X (Close) icon in the Add Locations section to close it.
- For each location, define the following:
- Location – Click this link to display Vendor Location Additional Information, as entered in Net-Chef.
- VO Mode – Select the mode this location will use; see details on the Vendor tab.
- COD – Check this box if the vendor requires immediate payment or issues immediate refunds for vendor orders/returns. A Check Number/Payment Reference will be required for Vendor Orders (at reconcile), Vendor Returns (when created) and Purchase By Invoice transactions in Net-Chef.
- Accrual – When this box is checked, a check box will appear in the Purchase By Invoice screen for the location, which when checked will keep the transaction open into the next post period, to allow charges to continue to be accrued against it.
- E. Invoice – When checked, vendor orders created for this vendor from this location must be invoiced electronically. Orders cannot be reconciled until the e-invoice is received.
- Order V. UOM – This setting determines which unit of measure will be used when this location creates vendor orders in Net-Chef for this vendor . If checked, Vendor Units will be used; if not, Inventory Units will be used.
- Order Alert – Check this box to enable the Order Qty Alert for Net-Chef vendor orders placed from this location.
- Enforce Minimums – Check this box if users should not be allowed to submit a Net-Chef Vendor Order for this location unless it meets the specified minimums.
- Allow VO – This box will be checked by default. When unchecked, this location will not be allowed to create Net-Chef Vendor Orders or Returns for (or on Master Orders, order products contracted to) this vendor.
- Allow SR — When checked, Simple Receipt transactions will be allowed for this vendor at this location.
- Auto-Order — When checked, Auto-Ordering will be allowed for this vendor at this location.
- Auto-Reconcile — When checked, Auto-Reconcile of orders for which an e-invoice is received (or invoiced via Crunchtime Xchange) will be allowed for this vendor at this location.
- Min # of Cases – Minimum total cases expected on orders from this location.
- Min Value – Minimum total value expected for each order from this location.
- VO E-Mail – Required if "VO Mode" selection uses e-mail; multiple e-mail addresses can be entered, separated by a semicolon.
- VO Fax – Required if "VO Mode" is 'Fax'.
- Export Code – May be required for export.
- Account Number - May be required for export.
- Reference, User Name, and Password (limited to 32 characters) – Required for login if "VO Mode" = 'FTP' or 'Secure FTP'; will be used to access the vendor's electronic ordering system for purchase order exports. If "Interface" = 'US Foods', then the location's Department Number with the vendor must be entered in the Reference field.
- Trading Partner ID – Only utilized if "Interface" = 'US Foods', 'DMA', or 'PFG Custom'. This value will appear as the Partner Name (US Foods), Distributor Identifier (DMA), or Location Concept Number (PFG Custom) in the purchase order export file. This field is also used to validate location-specific bid/order guide import files for these vendors.
- Vendor District ID – For importing product/price lists from the vendor, this is utilized if "Interface" = 'US Foods', 'DMA', or 'PFG Custom'. This represents the Distribution Location/Center ID. This value will be used to identify a location's market to determine which market to use for the Bid Sheet; for bids, this is only required for one location per market. For PO exports, if "Interface" = 'US Foods', then this field must be populated for each location as this value is required in the export.
- Child ID – Only utilized if "Interface" = 'US Foods' or 'DMA'', and only if importing product/price lists from the vendor. This value will be used to identify franchisee locations to which the Item Price file applies; only required for one location per market served by the "Vendor District ID".
- FTP Test Result – Displays detailed results of the FTP test for each tested location.
- SFTP Test Result – Displays detailed results of the Secure FTP test for each tested location.
- Click the Disk (Save) icon to save your changes.
To test the FTP or SFTP connection for one or more locations:
- Click on a location row to select it or press [CTRL] and click on multiple location rows; the selected rows will be shaded blue. (You can only test one type at a time, so be sure all selected rows have the same VO Mode.)
- When ready, click the FTP Test or SFTP Test button as appropriate.
- For each selected location, Crunchtime will send a sample file to the vendor containing 10 lines of dummy text. The file names will be formatted as "ftpTest_[site name].txt" and "sftpTest_[site name].txt" respectively.
- To download and print these changes, click the Printer (Export) icon and select the desired options.
- If necessary, click on any other tab as needed to configure settings on that tab. If not, skip to the next step.
- When finished, click the X (Close) icon to return to the summary screen.
