Edit an Invoice
Authorized Net-Chef users can edit Purchase by Invoice transactions based on user security settings defined by corporate users in Enterprise Manager, as follows:
- Entry Users can edit and make changes to any invoice they created.
- Other users who are allowed to make changes will be able to access the invoice.
- Other users not allowed to make changes will be able to access the invoice only if they are allowed to attach files to an invoice.
Users who can access the screen for view-only but have no other related security access will not see the "Edit" link on the summary screen.
Note: These security restrictions only apply when the Purchase By Invoice is configured as a 2-step process. See "PBI Reconcile - Related Setup" for more details.
- From the Purchasing menu, click Create Purchase By Invoice.
- To find a particular order, click the Funnel (Filters) icon; in the pop-up, enter/select parameters to filter by Vendor, Invoice Number, Entry User, Reconcile User, Status, Date Entered, Invoice Date, Reconcile Date, and/or Delivery Date and click Apply.
Note: Users can click any of the column headers to sort by the data in that column.
- Click the Edit link corresponding to the order that needs to be changed.
- Authorized users can click the Attachments button to upload a file and link it to this transaction, or to view attached files. (See "Attach Files to an Invoice" for more details.)
Note: Users can also view attached files by clicking on an icon in the "File(s)" column on the summary screen.
- Make any other necessary changes, as allowed based on user security settings.
- If the Accrual box is checked, the invoice will remain open into the next post period, so that other purchases/charges can be accrued against it. (When a final invoice is received from the vendor, this check box must be cleared for the order to be closed.
- To enter another transaction without reviewing or printing, click Save and Create New. If there are no more transactions to enter, click Save.
- In the confirmation message click OK.
- To download and print a copy of the transaction, click the Printer (Export) icon.
- When finished, click the X (Close) icon.
