Entering Budget Data

  1. From the Administration menu, select View/Edit Budget Data.
  2. The Post Period defaults to the current unposted period. If the budget is for a different period, select the appropriate period from the drop-down.
  3. Click Retrieve. (If any exist, budget figures from the last saved period will populate the Value fields by default.)
  4. For each line, indicate the Budget Type ($ value or % value) by checking the box in the appropriate column.
  5. Enter or edit the amount in the Value field.
  • Values may be entered with up to four decimal places.
  • Percentages may be entered with up to two decimal places, and must be greater than zero.
  1. If the value is a percentage, select a General Ledger description from the drop-down in the % Of column; this appears when the box in the ‘%’ column is checked.

Notes:Closed If a GL account (COGS - PRODUCE) in a given Cost of Goods Sold P&L Substructure (COGS – FOOD) is set up as a percentage of a sales account (FOOD SALES), then ALL products within that substructure MUST be set up in the same manner in order for the Budget "Cost %" calculation in the Profit & Loss reports to be based on that sales account. (See "Budgets Applied" for more details.) The Actual/Theoretical Cost reports also use this link to determine the Sales account to use when calculating the Actual, Theoretical, and Variance percentages.

  1. When ready, click the Disk (Save) icon.
  2. To download and/or print the screen details, click the Printer (Export) icon; options include PDF, Excel, CSV, and CDP. {Notes}Closed: The 'CDP' option will export the product details for those displayed on screen in the 077 text file format; filter options will be respected. If the export data exceeds 10mb, a zip file containing multiple text files will be generated.
  3. To apply the same budget data to other Post periods, select the Apply Budget button.
  • To apply the budget only to certain periods, check box to the right of those post date(s) in the Apply Budget column.
  • To apply the budget to all of the post periods displayed, check box in the column header.
  1. When finished, click the Disk (Save) icon.
  2. In the confirmation message, click OK.

 

 

Note: The Apply Budget button can be used at any time to copy the existing budget to other periods.
