Inbound Integrations

The Inbound Integrations screen allows corporate users to track the status of inbound files, whether they processed successfully or not, and make corrections to those that failed because they contained errors. Users can select a failed file, make the necessary corrections, save the changes, and re-process the file. Users can also download the import file and/or its error log from the summary screen.

An Error Report is available to help users differentiate between various files in the summary screen and detect common errors and/or error patterns. If the file is a Standard E-Invoice file, a Vendor Bids button will be available to allow the user to open that module to update bid data without having to leave the Inbound Integrations screen.  {Note}Closed: In the Vendor Bids screen, the Market and Vendor selected for viewing will be populated from the e-invoice.

For authorized users, the screen also displays an Import button, to import a file manually instead of processing it though the Crunchtime Data Pump (CDP).  {Notes}Closed: This feature will only import one file at a time. The User Group control "Inbound Integrations: Import" enables this feature.   {Franchise Note}Closed: Franchisee data can be imported by the Franchisor.

Note: The errors reported and eligible for correction relate specifically to file contents; this process cannot be used to correct failures due to processing errors (i.e. an invalid Location Code, User ID, or Password in the CDP.ini file or if the processing user is not associated with the location in the Application Users screen).

  1. From the Interfaces menu, select Inbound Integrations.
  2. The summary screen will open. To see a list of the screen columns and descriptions, click ClosedHERE.  {Franchise Note}Closed: Franchisors will see a "View" drop-down where they can choose to view 'Corporate' (Franchisor) files, 'Franchise' files (from Franchise entities associated with the application user), or 'All' files. A Franchise Name column will display which franchise each file belongs to.
  • Select (check box) – Check to select one or more files to cancel or reprocess.
  • Status – Indicates the status of each file. Options include: 'All', 'Failed', 'Partially Failed', 'Reprocessed', ' Processed', Awaiting Reprocessing', 'Awaiting Processing', 'Canceled'
  • File Name – The name of the file in which the error occurred.
  • File Type – Lists the type of file in which the error occurred.
  • Create Date – Date the file was uploaded.
  • Create Time – Time the file was uploaded
  • Location Name – The location for the imported file.
  • Franchise Name (Franchisors only) – Displays the franchise that the file belongs to.
  • Location Market – Displays the name of the Market for the Location associated with a Standard (009) or US Foods e-invoice file.
  • Vendor – Displays the name of the Vendor associated with a Standard (009) or US Foods e-invoice file.
  • Description – Displays part of the file content.
  • Retry User – The User ID for the user who reprocessed the file.
  • Retry Date – Date the file was reprocessed.
  • Retry Time – Time the file was reprocessed.
  • Actions – Includes links to download the 'File ' and the 'Log'.
  1. The Status drop-down defaults to showing 'Failed' files. If necessary, select another status, choose a specific File Type to view, or use the Funnel (Filters) icon to filter the list.
  2. The list of files is limited to a 10-day range (the last 10 days by default) and is sorted by "Create Date" in descending order. If necessary, sort by another column.
  3. If you need to import a file manually, display the steps by clicking ClosedHERE. Otherwise, go to Step 6.
  1. To import a file, click the Import button.
  2. Click Choose File, select the file to be imported, and click Open.
  3. Click Import.
  1. To download a failed import file and/or its error log, click the File and/or Log link(s) at the right side of the file row.
  2. To remediate a failed file, click the File Name link corresponding to the appropriate file.
  3. A window will open displaying the file details. If necessary, click Cancel File to cancel the file and return to the summary screen.
  1. For each row with a 'Y' in the Errors column, click the Source link.
  2. A pop-up window will open in which the errors can be corrected.
  1. Enter or edit the information required to make any necessary corrections.
  2. When finished, click the Disk (Save) icon, then click the X (Close) icon to close the pop-up and return to the file details.
  3. Once an edit has been made to the row, the Modifications column will display 'Y'. If necessary, usethe Funnel (Filter) icon to see all rows that have/haven’t been modified.
  4. Once a row has been completely corrected, the Errors column will display 'N'. If necessary, use the Funnel (Filter) icon to see all rows that still have errors that need correcting.
  5. If necessary, click on a specific row and click the Trash Can (Delete) icon to remove it from the file.
  6. When all rows have been corrected, click the Disk (Save) icon, then choose one of the following options to proceed:
  • Click the X (Close) icon return to the summary screen.
  • Click Reprocess File to reprocess the file and return to the summary screen.
  1. In the summary screen, multiple files can be reprocessed or canceled, as follows:
  1. Check the box in the Select column for one or more files, or check the box in the column header to select all files.
  2. Click Cancel Selected or Reprocess Selected. (Reprocessing is limited to 5 files at a time by default.)
  1. To see if the edited files were reprocessed successfully, select 'Reprocessed' from the Status drop-down.
  2. To download a copy of the file list in the desired format, click the Printer (Export) icon and select the desired options.
  3. When finished, click Home (Dashboard) icon to return to the summary screen.
