Recent Purchase By Invoices

Once a Purchase By Invoice transaction has been created, it can be found in the Recent Purchase By Invoices screen accessed from the Purchasing menu. In this screen, each invoice has one or more processing options that can be selected, depending on the invoice status and the user’s security access. Authorized users can process orders and view uploaded file attachments or payment information for an invoice.  

Screen Controls:

Search field: Enter the Vendor or Invoice # you want to locate

Plus: Opens the pop-up for creating a new Purchase By Invoice

Funnel: Opens the Filters pop-up

Printer: Exports the list of invoices displayed to the selected format.

-><- : Minimizes the Recent Purchase By Invoice list and displays the Purchasing Overview page.

Screen Columns:

Click any column header (except "Actions") to sort by the data in that column

  • Invoice # – Entered by the user during invoice creation; from the vendor's invoice.
  • Vendor – The name of the vendor for which the invoice was created, selected during invoice creation.
  • $ Total – Total value of the invoice, entered during invoice creation.
  • Invoice Date – Entered by the user during invoice creation; from the vendor's invoice.
  • Date Entered – Date the invoice was created.
  • Entry User – The user that created the invoice.
  • Reconcile Date – Date the invoice was reconciled.
  • Reconcile User – The user that reconciled the invoice.
  • Delivery Date – Date the goods/services were received; entered during order creation.
  • Status – "Awaiting Reconcile" or "Reconciled"
  • Accrual – Will display 'Y' or 'N' to indicate if the invoice is flagged to accrue charges over multiple periods.
  • Payment – Will display 'Y' or 'N' to indicate if payment data has been uploaded for reconciled invoices.
  • File(s) – Will display 'Y' or 'N' to indicate if one or more files have been attached to the invoice.
  • Process (links) – Links for "View", "Edit", "Reconcile", and/or "Cancel" will appear based on invoice status.

 

Note: Authorized users can view attached files or payment information by clicking on an icon in the "File(s)" or "Payment" column respectively.
