Create a Back Order

When a supplier cannot fulfill the complete Order Quantity of one or more products on a vendor order, the vendor may place the unfilled quantity on Back Order. When this is the case, an authorized user may elect to create a back order in the system during the "Reconcile" stage of the original vendor order.

Note: The option to create a back order is only available for users linked to a User Group with the “NC-Purchasing - Create Back Order during VO Reconcile” control enabled. This option is only available the first time an order is reconciled; the application will not perform this check if a reconciled order is edited and re-reconciled.

  1. From the Reconcile confirmation screen, when a user opts to Reconcile, if any of the products on the order have an Invoice Quantity that is less than the Order Quantity, a Back Order Alert message will appear.
  1. In the message window, select Create a Back Order. This will create a new vendor order with a status of "Submitted" for those products and will only include the quantity of each product that was not fulfilled in the original order. When the process is complete, a confirmation message will appear.
  1. Select OK.
