Ideal & Earned Hours
"Ideal Hours" is the total number of labor hours for which employees (at all positions or a particular position) should be scheduled for each day, based on forecasted sales, guests, or checks. "Earned Hours" is the total number of labor hours that would have been ideal, based on actual sales, guests, or checks. By calculating the variance between Ideal Hours (i.e. recommended labor hours) and Scheduled Hours, the application will give managers a general sense of whether they are potentially under-scheduling or over-scheduling employees for a particular day. The application will calculate Ideal & Earned Hours based on setup done in the Net-Chef Sales Forecasts screen and the Staffing Level Templates defined in either Enterprise Manager or Net-Chef.
The following system configurations are required in order to display Ideal & Earned Hours on the labor schedule in Teamworx.
Positions
Staffing Templates require at least one active "Position" (i.e. job type). Therefore, users must set up Positions in Enterprise Manager before attempting to create staffing templates.
Dayparts
If utilizing "Dayparts" to configure staffing templates, users must first set up dayparts in Enterprise Manager. In Net-Chef, forecasted sales/guests/checks can be calculated by daypart. (Since the "Scheduling based on" preference allows for 'Hours' and both 15-minute and 30-minute increments, a 'Daypart' should be defined as more than 1 hour in length).
Preferences
- Scheduling based on – The setting selected on the Labor tab of the Preferences screen determines the default setting for the "Scheduling based on" drop-down in the Staffing Level Templates screen when a corporate user is setting up a new template; the user may select any of the other options. This will also be the default setting in the Location Details screen when a new location is created.
The setting selected on the Labor tab of the Location Details screen determines whether a location will use Staffing Level Templates to schedule employees based on forecasts by the 'Week', 'Days', 'Dayparts', 'Hours', '30-Minute Intervals' or '15-Minute Intervals'. (Example: N number of Prep Cooks are required when forecasted sales are between '0 to 1000' for a particular 'Daypart').
- Hours of Operation – The hours entered on the Labor tab of the Preferences screen. will be the default setting in the Location Details screen when a new location is created.
The hours entered on the Labor tab of the Location Details screen determines how a location will calculate forecasted sales. The application will refer to the location’s "Hours of Operation" and default Staffing Level Template to determine whether to use ranges/employee staffing levels for the PRE SHIFT schedule driver (e.g. for any time between "Opening Time (Setup)" and "Opening Time" for sales), the NET SALES schedule driver, or the POST SHIFT schedule driver (e.g. for any time between "Closing Time" and "Closing Time (Clean Up)" ).
- Sales Forecasting based on – The setting selected on the Recommended Order tab of the Preferences will be the default setting when a new location is created.
The setting selected on the Recommended Order Setup screen determines whether a location will create forecasts based on 'Menu Mix (Recipe Sales)' or 'Sales Mix (Register Sales)'.
Staffing Level Templates allow authorized users to create scheduling templates in which the number of employees or hours that should be scheduled for each position during each part of the day can be defined based on the level of forecasted sales, guests or checks. Corporate users can create Staffing Templates in Enterprise Manager for use at all locations; store-level users can create them in Net-Chef for their own location.
Templates can include incremental sales, guest, or check value ranges based on forecasts by the 'Week', 'Day', 'Dayparts', 'Hours', '30 Minute Intervals', or '15 Minute Intervals'. For parts of the day that have no forecasts (i.e. "Prep" and "Cleanup", when the store is not open for business), users can set up employee staffing levels based on the total forecast for the day.
When setting up staffing templates, the staffing levels for the PRE SHIFT – PREP/SETUP' and 'POST SHIFT – CLEANUP' schedule drivers are defined according to various levels of daily forecasted "Total Sales", since these times don't have actual product sales. Staffing levels for the 'NET SALES - BUSINESS HOURS' driver will be defined according to various levels of forecasted sales for the time frame designated by the locations "Scheduling based on" setting.
- For the 'NET SALES - BUSINESS HOURS' driver, sales/staffing ranges can be defined as follows:
- If "Scheduling Based On" is set to 'Dayparts', 'Hours', '30 Minute Intervals', '15 Minute Intervals', enter the appropriate number of employees that should be scheduled in each position during this time frame.
- If "Scheduling Based On" is set to 'Day' or 'Week', enter the total number of hours needed for each position during this time frame.
- For the 'PRE SHIFT – PREP/SETUP' and 'POST SHIFT – CLEANUP' schedule drivers, sales/guests/checks value ranges are defined according to the "Week" forecasts (if "Scheduling Based on" = 'Week') or "Day" forecasts (for any other "Scheduling Based on" setting).
In order to fully configure a Staffing Template, staffing levels must be defined for ALL applicable Schedule Drivers.
Note: Each location will designate one or more "Default" staffing level templates and can link them to labor schedules for use in the Ideal & Earned Hours calculations.
The Sales Forecasting screen in Net-Chef allows users to set up forecasted sales/guest/check values for a week.
If the "Sales Forecasting based on" preference is set for 'Recipe Sales (Menu Mix)', the application will also allow users to set up forecasted sales by daypart and revenue center. The application will distribute the total "Forecasted Sales by Daypart" among the revenue centers based on the historical sales during each daypart of all recipes associated with each revenue center.
Currently, users can only set up forecasted sales at the "Daypart" level by using historical recipe sales data (via Menu Mix), when the user saves the "Forecasted Sales by Daypart" values, the application will take the forecasted sales value for each Daypart/Schedule Driver combination and calculate forecasted sales for the 15-minute increments that constitute that daypart.
Labor Reports
The Labor Productivity and Consolidated Labor Productivity reports will display "Ideal Hours" and use them to calculate the variances between Scheduled and Actual Hours.
Note: The Net-Chef Dashboard will also include the option to see KPIs related to Ideal & Earned Hours and variances relative to Scheduled and Actual Hours.
