The Auto-Order Process

The Auto-Order process can be used to automatically create and/or submit Vendor Orders.

Order Creation:

The Auto-Order process will verify the following for this vendor and location in the sequence noted below to determine whether, and if so when, to automatically create a Vendor Order:

  1. The Auto-Order setting is enabled so that Auto-Orders are allowed be created.
  2. The delivery schedule indicates that an order should be created today and if so, by what time (based on the location’s local time).  {Note}Closed: Be aware that order transmission can occur up to 15 minutes after the Order By Time, so you should set this at least 15 minutes earlier to allow for that.
  3. A user has not already manually started or created an order for the same Vendor and Expected Delivery Date.
  4. Recommended Order quantities are > '0' for one or more products - i.e. products need to be ordered, so the total value of an order will be > ‘0.00’.

If all of the above are true, then an Auto-Order will be created for the vendor at this location, with the products and quantities determined by the Recommended Order calculation.

Order Submission:

The Auto-Order process will verify the following for this vendor and location to determine whether to automatically submit a Vendor Order:

  • The VO Mode and Interface settings are eligible for Auto-Order to use (i.e. “VO Mode” is not ‘Phone’ or ‘Web Services’ and “Interface” is not ‘US Foods’.)
  • The total order value and/or quantity meets the defined Order Minimums, if enforced.
  • The (Recommended) Order Quantity for each product falls within an acceptable range as defined by the Order Quantity Alert setting.
  • The total order value falls within an acceptable range as defined by the Order Amount Thresholds (High or Low).
  • High Threshold example: If the (High) threshold is set to 200% and the 4-week average order value for this vendor and location is $1,000, then the maximum allowable order value for an auto-order to be submitted is $3,000 (1000 + (1000 * 2)).
  • Low Threshold example: If the (Low) threshold is set to 50% and the 4-week average order value for this vendor and location is $1,000, then the minimum allowable order value for an auto-order to be submitted is $500 (1000 - (1000 * 0.5)).

If all of the above are true, then the Auto-Order will be submitted to the vendor from this location.

 

Note: If the High/Low threshold boxes are checked but the % values are set to '0', Auto-Orders for this Vendor will be automatically created and saved but not submitted.
